The best Project Online alternatives in 2026
With Project Online retiring on 30 September 2026, every PMO running on it needs a new home - and Microsoft is not offering a like-for-like replacement. Here is a plain look at the options, and how to choose between them.
First, what Microsoft offers (and where it falls short)
Microsoft points users towards Planner Premium, Project Server Subscription Edition, or Project desktop. None of them matches Project Online feature-for-feature, and there is no Microsoft tool to migrate your existing data.
• Planner Premium is lighter on portfolio-level governance and reporting.
• Project Server Subscription Edition means going back to running your own server infrastructure.
• Project desktop is single-user scheduling, not a PMO platform.
The wider PPM market
Outside the Microsoft options, the field splits in two:
• Rip-and-replace SaaS (monday.com, Smartsheet, Planview, ServiceNow) is capable, but it moves you off the Microsoft stack, adds its own licensing, and rebuilds your governance from scratch. The enterprise suites can be oversized and over-priced for an SME or a mid-tier public body.
• Microsoft-native solutions, built on the Power Platform and run inside your own Microsoft 365 tenant. This is the closest thing to "same world, better engine" - and the only route with a real migration path for your data.
What to weigh up
Five questions cut through most of it: Does it keep your data in your own tenant? Does it preserve your history? Is there a genuine migration path, not just a new tool? Is it sized - and priced - for your organisation? And will your team actually adopt it?
Where Context& xPM fits
Context& xPM, from Projectum and delivered by NextGen PPM, is built on the Microsoft Power Platform and runs inside your own Microsoft 365 tenant. It is right-sized for SME and public-sector PMOs rather than an enterprise suite you grow into, and it comes with a Migration Accelerator that moves your Project Online data without it ever leaving your tenant.
