How to prepare for a PPM migration

A migration goes smoothly when the preparation is done. Here is what to sort before you move off Project Online - and a free checklist to work through it in order.

Notify and document

Tell your users the change is coming and update your internal documentation, so nobody is caught out and the knowledge isn't lost when people are busy.

Take stock of what you have

List your active projects and portfolios, your custom fields and process, the reports people rely on, and any integrations. This inventory is what shapes the migration scope.

Decide what moves and what is archived

Not everything needs to come across. Decide what is live and must migrate, and what can be archived or simply backed up.

Back up before the deadline

Back up your Project Online data before 30 September 2026, while the environment is live and supported.

Plan while there is still runway

Book the assessment early. The closer to the deadline you leave it, the more rushed and risky the move becomes.
